Promote School Care Management System

Promote is a case-oriented school-care management system created by Community Care Systems, Inc., a US-based company developing software solutions for healthcare providers. 

The project enables the collection and tracking of detailed records of school care programs and student case records, including parent/student event participation and attendance records, surveys, questionnaires, referrals, notes, and demographics for more than 7,500 parents and more than 32,000 historical student cases. 

The application is designed with a central focus on managing attendance, performance metrics, and provider reflections across more than 12 different event types, accommodating both individual and group activities. This core functionality ensures that program managers can track and analyze attendance and performance effectively. Each data point is contextualised within the school year selected in the application preferences, allowing users to seamlessly switch between academic periods and access historical data when necessary. 

The application offers robust reporting capabilities, featuring over 20 specialized reports that provide insights into attendance, performance metrics, and survey results. These reports are structured to deliver insights at various levels, such as by student, parent, group, and provider, and can be grouped by specific criteria like age, grade, teacher, and school. Privileged users have access to advanced filtering options, which include customizable date ranges, academic years, and fiscal quarters, to tailor reports precisely to their needs. Reports can be generated as simple CSV files, formatted PDF documents, or detailed multi-page Excel spreadsheets, providing flexibility in report distribution and further data manipulation. 

The legacy system was converted from classic ASP technology to an Enterprise Platform using the semi-automated conversion process. This process uses a combination of automated analysis and conversion to significantly reduce the effort required to convert and migrate the application and data. Expert analysis was applied to validate, enhance, and expand the project scope to support future needs and solve long-standing limitations.
